Purchasing and suppliers
Prepare purchase orders and review suppliers, delivery quantities and purchase documents. Choose the task that matches what you need to do now.
Where to start
| Your task | Follow this route |
|---|---|
| Order more goods from a supplier | Prepare the purchase order, then check each product, option, quantity and cost. A suggested product list can still have zero ordered quantities. |
| Send an order you have prepared | Find and review the saved order, then print or email it. Saving an order and sending it to the supplier are separate stages. |
| Goods have arrived | Find the correct order, compare the physical goods with its options and destination, then review actual quantities and receiving. |
| A quantity, delivery or document looks wrong | Compare the saved order, supplier paperwork and existing receipt state before editing or repeating an action. Use the line checks for ordered quantities and costs, or the delivery checks for what arrived. |
Keep the stages distinct
The ordered quantity records what you intended to buy; the actual receipt needs comparison with the goods in front of you. A printable order, a supplier email and a stock receipt each need their own check. If goods are received through a purchase order, do not receive the same physical units again through Receive Stock without an intended, reconciled reason.
Example: one item arrives and another is delayed
Find the existing order and match the delivered product and option. Follow the delivery-quantity guide before confirming receipt, then check the saved state and remaining work. Do not create another purchase order merely because a parcel is incomplete or a supplier needs another copy of the document.
