Add or update a customer’s details
Search the directory before creating a customer. An existing customer’s contact details, group, credit settings and loyalty points are different parts of the record.
Open the intended record
- Open Orders & Customers → Customer List and search for the customer.
- Compare identifying details and open Edit, or use Add customer for a genuinely new record.
- Review the customer number/card identifier and Email.
- Check Billing details, including name, address, country, postcode and telephone.
- Review separate Shipping details where offered. Confirm whether the intended delivery address differs from billing.
- Review any applicable company/tax-number or additional fields for this shop.
- Select Save changes for the intended update, then reopen the same record and check the saved values.
Keep changes deliberate
Do not change Password, Customer Group, Credit Limit or Points as a side effect of correcting an address. Use the appropriate account, group, credit or loyalty workflow when one of those changes is intended.
Example: a delivery address changes
Confirm which address should be updated and which open orders, if any, also need attention. Reopening a customer record establishes its current details; it does not prove that an existing order’s saved delivery address changed.
If saving fails or a duplicate appears
Read the actual validation message and compare the existing records. Keep both references while investigating rather than deleting an account because its name resembles another. Check saved order/contact information separately.
Find customer history · Credit limit · Group assignment.
Identifiers and duplicate emails
For a new customer, Customer/Loyalty Card ID can be left empty for generation where available. Do not assume clearing an existing ID generates a replacement. Check it before issuing a card. If Duplicate email address appears, locate and compare the existing account. Do not change an email merely to bypass validation or assume records were merged.
Notes and saving
Use Notes and Extra Info 1–5 for the intended shop information. Leave Password empty when not intending a credential change. Complete highlighted required fields, save deliberately and reopen the record. After an interrupted response, search before resubmitting to avoid duplicates. Cancel or Close leaves without another save; it does not reverse an earlier save.
