How can we help?

Prepare to approve a stock audit

Approval is the stage at which an audit is committed to stock holdings. Complete the review first, especially when some items have not been counted.

Before approval

  1. Confirm the audit number, outlet and full/partial scope.
  2. Check that counting is finished and any device-local work has synchronised.
  3. Review the report, including discrepancies, reasons and notes.
  4. Review all uncounted items explicitly. An uncounted item and a confirmed physical count of zero are different findings.
  5. Check how sales, receipts or transfers during the count have been handled.

Review the confirmation choices

The document details include Approve document for an eligible operator. Its confirmation process can warn that not all items have been counted. Review that warning and return to counting if the work is incomplete.

The uncounted-item confirmation can also offer Mark not checked items as inactive. Treat this as a separate catalogue-visibility decision. Leaving a product uncounted is not by itself evidence that it should become inactive.

Stop at the first confirmation when reviewing only

  1. Open the intended document’s details and check its number, scope, outlet and current status.
  2. Complete the report and uncounted-item checks above before choosing Approve document.
  3. Read Approve document? and the question asking whether you want to approve this stock audit.
  4. Choose No if you are only inspecting the confirmation, counting is unfinished or the intended stock result is unclear. Check the displayed document status again.
  5. Use Yes only when you intend approval of the reviewed audit. Do not choose it just to discover whether another warning will appear.
  6. Read any subsequent warning or result, then check the saved status and actual holdings after an intended approval.

Opening a confirmation is separate from approving the document. An empty or filtered list is not a reason to approve an audit merely to see what happens.

Example: a missed shelf

If a shelf was missed, review those items and finish the count rather than treating them as zero or making them inactive to clear a warning. If items are deliberately outside the count, check the audit’s scope and the intended approval result before continuing.

After an intended approval

Confirm the document’s saved approval status and review the affected stock at the intended outlet. Keep the audit reference with the change. If the result is uncertain, inspect the document and quantities before attempting another approval or correction.
