How can we help?

Count items in a stock audit

Work within the intended audit document and outlet. Decide whether you are scanning each physical unit or entering a quantity for a selected item.

Prepare the counting device and scanner

  1. Decide whether staff will use a computer, tablet or phone, and whether they will scan individual units or enter quantities. Check that the counting controls are usable on the intended screen before starting the audit.
  2. If you need a scanner, ask support to confirm a suitable combination for your device. Include the device model, operating system, browser or app, scanner model and connection method. A scanner that pairs with a device is not by itself proof that it enters the correct barcode into this workspace.
  3. Before a large count, arrange a controlled check with a known item and its exact SKU or variant. Check which item is matched and how its count changes. Resolve a mismatch or repeated scan before counting the rest of the stock.

For example, changing from a tablet to a phone can change the available connection route and the space for controls. Confirm the intended setup with support rather than assuming the same scanner and layout will work on every device.

Open and check the workspace

  1. Find the audit document and use its Edit action to open the count workspace.
  2. Confirm the intended audit context before recording counts.
  3. Find Quick-scan, Scan or search for a product and Counted items. Review the connection status shown by the workspace.

If the counting window is not immediately visible

After choosing Edit, look for a separate tab or window titled Product Stock Audit before choosing Edit again. Keep the original audit number and outlet with your work. If the expected workspace does not appear, keep the document reference and ask support for help.

Scan individual units

  1. Choose Quick-scan when you intend to count one physical unit per scan.
  2. Scan the intended item’s barcode.
  3. Check the matched product or variant and its counted value.
  4. Continue scanning the physical units, watching the count so an accidental repeat is caught promptly.

Enter a counted quantity

  1. Turn off Quick-scan to expose the Quantity field and Add item button for quantity entry.
  2. Scan a barcode or search for the product, then select the exact item or variant.
  3. Enter the intended Quantity and select Add item.
  4. Review the resulting count before entering more for the same item. A further count entry may add to the recorded amount; use the row-edit route when correcting an existing total.

Example: one box of twelve

If the box contains twelve individual units, choose the count method deliberately. Scanning twelve units and then adding a quantity of twelve would describe the same physical stock twice. Check the item’s unit and barcode before counting a carton as one product.

Review counted items

The counted list provides SKU, Product, Expected and Counted columns, with row actions. Check the exact variant as well as the base product. Investigate an unexpected value before deleting or re-entering rows.

Connection interruptions

The workspace has Online and Working offline status indicators and device-local counting support. Keep the original device and count context intact, and verify synchronisation after reconnecting before approval. If anything is uncertain, preserve the current work and ask support to review it rather than clearing browser data.

If the saved audit catalogue is unavailable

If the workspace says that the saved stock-audit catalogue is unavailable, reconnect before counting. If it reports that an offline catalogue could not be saved, keep the page open, stay online and contact support. Preserve the existing count while the problem is investigated.
