How can we help?

Review a user’s role and location access

Use this task when a staff member cannot access an expected location or appears to have broader access than intended. Identify the actual account and required activity before changing it.

Review the account

  1. Open Global Settings → Users.
  2. Use Type, Status and Outlet filters to locate the intended account.
  3. Open the user and check Name and Email.
  4. Review Type and Active?. Your own account’s role/active controls can be unavailable; do not infer that every account has the same editable controls.

Review location assignments

When available, Access to outlets and Access to web sites show available choices and an assigned Access to list. Add/Remove controls move choices between those areas before the main Save changes action.

Everywhere is broader than choosing named locations. Website access can also offer None. Review the assigned result after each intended move: removing the last assigned choice can restore Everywhere in the editor. An empty-looking selection is not proof of no access.

Save and test the intended scope

  1. Compare the final assigned lists with the intended role and locations.
  2. Use Save changes only for the intended update.
  3. Reopen the account and review its stored assignments.
  4. Verify the relevant staff journey and location visibility, including an out-of-scope location where appropriate. Confirm session behaviour rather than assuming a save immediately changes every open till.

Example: one-outlet cashier

Review the Cashier role and the single intended outlet as two separate settings. If Everywhere is assigned, selecting a role name alone does not narrow the outlet list. Ask the administrator to check actual permissions for the required task.

Other user settings

POS Display and stock-management choices are separate from location assignment. Review their meaning for the user’s role before including them in an access update. Use the recorded activity to investigate completed actions; do not use account deletion as a diagnostic step.
