Find a gift voucher and review its record
Use the Gift Vouchers page to find an existing voucher before investigating a balance or redemption query. Match the full code rather than a similar-looking record.
Search by code
- Open Orders & Customers → Gift Vouchers. Gift Vouchers is also available in the WebShop and ePOS menu areas.
- Enter the code in Search voucher code and select Search.
- Compare the exact code in the result.
- Review the displayed Current amount / Initial amount pair, redemption state, creation date and expiry information. The sample list distinguishes Partially redeemed and Redeemed, and can show No expiry.
- Select Orders on the intended voucher to investigate related transactions.
Example: a partially used voucher
If a customer says they used only part of a voucher, check that its code matches and review the redemption state and related orders. Compare the dates and transaction amounts before concluding that a balance is wrong.
Printing and maintenance
The record has Print, Edit and Delete controls, and the page offers Add gift voucher. Printing a voucher and issuing or changing value are different tasks; find the existing record first so you do not create another voucher to solve a lookup problem.
If the voucher is not found
Check the complete code against the original, including letters and digits that look alike. Select Clear to remove the code search, then review the list controls and pages. Keep the original voucher and any related receipt when asking support to investigate.
When you need aggregate voucher activity, choose the voucher-related report from the Reports area. Treat a lookup as an investigation step, not a completed redemption or balance change.
Detailed tasks
Review or change an existing voucher
- Find the full voucher code and open its Orders before investigating a balance difference.
- Select Edit on the matching voucher.
- Review Initial Amount, Current Amount, Expiry Date, Specific to a customer? and Active?. Initial Amount is displayed for reference when editing.
- For an intended change, enter the correct Current Amount or expiry and review the customer restriction. If choosing a customer, select the actual matching name/email from the results.
- Use Change beside Code only when the code itself must change; a customer holding the old code will need the correct details.
- Choose Save changes to remain in the editor, or Save changes & close. Reopen the voucher and compare the saved details with the intended change.
Cancel leaves without another save. Keep the original code, amounts and reason for a balance correction with your records. Editing Current Amount is a change to available voucher value; investigate the related orders first rather than using it to hide an unexplained redemption.
Print or remove the intended voucher
Select Print on the exact record when you intend to produce its voucher output, and check the code and amount before handing it to the customer. Printing an existing voucher is separate from selling another one.
For an intended removal, keep the voucher and related order references, select Delete on that record and read the Delete Gift Voucher? confirmation. Cancel if the record or its remaining value is uncertain. Check the list after confirming; deleting a voucher does not establish that money was refunded or its related orders reversed. Ask support about recovery if a voucher was removed in error.
