How can we help?

Create a gift voucher record in Builder

Creating a voucher record creates potential spending value. Use the shop’s authorised issue/refund process and keep the supporting sale, adjustment or refund reference. The Builder form does not itself establish that a customer paid for a voucher.

Prepare the record

  1. Open Orders & Customers → Gift Vouchers and check for an existing record before creating another.
  2. Select Add gift voucher.
  3. Review Code. The form offers automatic generation when it is left empty; if using an approved existing code, check it carefully.
  4. Enter the intended Initial Amount and review Current Amount. They describe different values; confirm the intended new credit rather than copying a partially redeemed record.
  5. Review Expiry Date under the shop’s established terms and the actual date format shown.
  6. Review Specific to a customer?. If Yes, choose and verify the intended customer.
  7. Set Active? deliberately, then review all fields before Save changes or Save changes & close.

Check the created voucher

Find the saved code and compare current/initial values, expiry, customer restriction and active state. Record the issue reason and supporting reference under the shop’s process. Use the existing record’s Print action if required; printing does not receive payment.

Example: a new versus partially used voucher

A newly authorised £25 voucher can start with £25 current value. A £25 voucher already used for £10 has a different intended remaining value. Do not recreate the second as a fresh £25 record to solve a lookup problem.

Corrections and deletion

Edit and Delete are separate value-affecting actions. Investigate the existing voucher and related orders before changing a balance or issuing another code. A manual balance edit is not the same as reversing the original redemption.

Use a preprinted voucher or card code

When adding a gift voucher record, enter the complete existing code in Code. If your barcode scanner types into the focused field, you can scan the preprinted code there. Leave Code empty only when you want ShopTill-e to generate one.

Review Initial Amount, Current Amount, Expiry Date, Specific to a customer? and Active? before saving. If the code already belongs to another voucher in this shop, the save reports The code already exists; find the existing record rather than creating another for the same card. After saving, reopen the record and compare its full code and available value with the intended card.

Creating a voucher record is separate from recording the customer’s payment. Entering a preprinted code does not itself charge the customer or activate an external card service.
